Share with another User

It's easy to share the data you are looking at with another person. Just keep in mind that they will need to have a login on the site. Also, any filters applied to their login will be applied to the data. For example, if you are looking at a report with all departments and their login is only allowed to see one department, they will only see that department when they click on the link. Share a Filter With Another Datapp

You can also share a filter with another datapp. To do this you would filter the data in one datapp and then use the filtered data to create a filter in another datapp.

For example, if you wanted to send an email to all of the Lifeguards, create a filter based on the Employee IDs in the Job Information datapp.

  1. Create the list of Employee IDs that you want to filter on.

    • Open the Job Information datapp
    • Make sure the field that you are filtering is the first column. If it isn't, open the Display Panel and drag it to the first position.
    • Filter on the Job Codes for the Lifeguard classification(s).
  2. Use the Share Panel to create the filter based on the filtered list of Employee IDs.

    • Copy the text in the box for Filter Employee ID

Share a Filter

  1. Go to the datapp you would like to filter. In this case Email Addresses.

    • Navigate Panel icon Open the Navigate Panel
    • In the list of fields you can filter, select the Employee ID field
    • Paste the copied text into the filter for Employee ID
    • Click the Navigate button

You now have a list of email addresses for all Lifeguards that can be exported and used to create an email merge.

Share Filter Tips

  1. Make sure the column that you want to filter is the first column in the datapp.
  2. Use the Lookup tables or Chart of Accounts datapps to create filters for those fields.
  3. You can use the same Share Filter to exclude the values in the Filter by putting an exclamation point (!) in front of the filter. The exclamation point is the operator used to exclude values. If we do this in our example, all Lifeguard classifications will be excluded from the results.
