Navigate the Data

Data Page

Once you click on a menu link on the home page, it will open the data page, or datapp. Now you can navigate by clicking on values, column headings, or activating the Display and Control Panels.

The bottom right corner of the window shows how many rows are in your datapp. The data is displayed 100 rows per page. Use the Page Navigator in the top right corner to move through the pages, as needed.

Joins

To keep the data page as simple as possible, in some cases descriptions and related data will be joined to a primary field like a code. If there is an arrow to the right of the column title, there is additional data joined that will be displayed when you click on it.

Filters

Simpler datapps are designed so that you can navigate directly on the page without using the keyboard or complicated menus or forms. The Control Panels are available if you want a more intricate data presentation, but the majority of what you need can be done directly on the page. You can add a filter by clicking on the value that you would like to filter on. In the example below, you can see there is a filter applied to Business Unit. Default Filters, indicated by the dashed frame, are applied on Effective Status and HR Status. If you want to add another filter for Department = Business Technology, just click on that value, and the filter is immediately applied.

Click on the value Dept ID Code 1560 to automatically apply a filter on Business Technology.

You now see the filter on Dept ID in the Criteria Bar.

Click on the Pencil icon to edit the filter. The Navigate Panel on the right side of the screen will open, and then you can change the value.

Click on the Remove icon to delete the filter.

Sorting/Grouping

In Simpler datapps, each column heading will either Sort or Group, according to the preference of the client. Typically, numeric values and dates will sort by default. Columns that contain a list of possible values will Group by default. If you hover your mouse over the heading, you will see the default action. If the tooltip says Sort, click on the column Title one time to sort ascending. Click again to sort descending.

Grouping

There are three stages of Grouping in a datapp: no grouping, grouped, and aggregated. This section shows how to group the data by clicking on the column headings. You can see how to Group in the Navigation Panel here.

1. No Grouping

Without grouping, the data is at the highest level of detail. This level shows all of the rows of data without headers or footers. The Datapp Title is in the top left of the window. Underneath that is the title of the Current View. If there is No Grouping, and you are not viewing a Shortcut, these are identical. Notice the change in the title of the Current View as you add Grouping and Aggregation.

2. Grouped

Click one time on the title of a column to Group the data. In this example, we have clicked on the Time Reporting Code. All of the rows of data are visible and grouped with the appropriate header and footer. Numeric data is totaled, if it makes sense. Notice that the title of the Current View now has changed to "Reported Time Detail by Time Reporting Code" indicating it is Grouped on that field.

3. Aggregated (Summarized)

Click a second time on the Time Reporting Code column heading to summarize or aggregate the data with each code on a single row. You no longer see the detail, just the totaled amount for each column. The Current View Title is now "Reported Time Detail Summary by Time Reporting Code".

Drill Down

When you see the Drill Down Icon next to a summarized value, click on it to drill down to the detailed records for that value. When drilling down, you are in the same datapp or data set, but you are switching from a summarized to a detail view. This example shows the Payments datapp, summarized by Installment Code. If you want to see the detailed records for Installment Code = BT, just click on the Drill Down icon next to the value in that row.

After clicking to Drill Down, you are still in the same datapp, now filtered for that Payment Date and Installment Code and no summarization. You can see the detail records that total the amounts shown. The criteria bar shows the filters that were applied.

In addition to navigating by clicking on values and column headings, you can use your browser or keyboard to go back or forward to data pages you have already viewed.


When you see one of these icons, you can click to see the related records or information from another datapp or website.

In some cases, you are looking at data that is already summarized. To see the detail, you can click on the icon and it will open the related datapp and show the related records. Links can also take you to related information in another website such as an image from a document management system or a Google map of an address. In this example, you can see that the link for Pay Period in the Payroll Register datapp takes you to the Payroll Register Detail datapp and shows the detail for the related information.
