Navigate Navigate Panel

The Navigate Panel can be used for applying Filters, Groups, Aggregation, and Sorting. When you click on the Navigate icon, the Panel opens on the right side of the window. It defaults to the Options/Filter Panel.

Options

Some datapps, like summarized financial data, have a section for Options on the Filter panel. If Options are available, you will see the section directly underneath the links to the Group and Sort panels. To learn more about Options, go to the Financial Statements section of this User Guide.

Filter Panel

Any field in the data can filtered. The Primary Criteria section contains fields that are most frequently used for filtering. The All Criteria section contains a list of all fields in the datapp alphabetically. To apply a filter using the Navigate Panel:

  1. Click on the Navigate icon to open the panel.
  2. Find the column you would like to filter and click on it in the list.
  3. The Criteria Box opens at the top of the panel.
  4. Start typing the value you want. A list of Suggestions for matching values will display in the panel and filter as you type.
  5. To see the full list, type a question mark '?' in the search box.
  6. Click on the value(s) that you want in your filter.
  7. Click the Navigate button to see the results or click More to add another filter.

Filter Tips

  1. When searching for a code: If you know the code, you can type it in and hit Enter twice on the keyboard. The first Enter selects the value in the list. The second Enter will Navigate to data. If you don't know the code, start typing part of the description. The list will filter to show the possible matches. Select the value you want, and then click Navigate.
  2. To add multiple values: If you see the values listed on the panel, click on each value to enter it in the criteria box. Or, you can type a comma after the first value and start typing the description for the next value. Click to add. Repeat as many times as you like.
  3. To add a filter on another column: Click on the More button. Any columns that already have filters applied will be in a bold font. Follow steps 1 & 2 above.
  4. Click Navigate when you have finished adding filters.


Group Panel

To add Groups or Aggregation using the Navigate Panel:

  1. Click on the Navigate icon to open the panel.
  2. Click on the Group link in the top section.
  3. Find the column you would like to Group or Aggregate and click on it in the list.
  4. The field name will now appear in the Selected section. Repeat for as many grouping levels as you would like to add.
  5. To Aggregate or summarize the values, click on the field in the Selected area, and click the Aggregate button.
  6. Click the Navigate button.

Click on a field in the Selected area to toggle between Group and Aggregate or add a Page Break. The example here shows the Class Code set to Group and the Account Number set to Aggregate.

When a field is Grouped, you have the option to add a Page Break. This will display the data with one group per page and the Page Break icon will appear next to the column.

Page Breaks are useful when exporting the data to Excel. Each page will create a tab in the workbook.

Matrix

Occasionally you may want to Matrix or pivot some of your data into columns. You can do this easily in the Navigate | Group Panel.

  1. Apply the filters you want on the data.
  2. Group on the data you want to matrix or pivot.
  3. Aggregate the data you want to summarize.

Click on the Navigate button and the field you selected to Matrix will now be in columns. There will be one column for each value in the dataset that is set to total when Grouped or Aggregated. There will also be a column that shows the Count or the number of records that are being totaled.

Use the Display Builder to turn off any columns that are not needed. For example, the Payment Amount column in this dataset does not contain useful information and the record Count column is not needed.

View Matrix Details

Sometimes want to see the detail that makes up a number in the Pivot. You can see the detail of any matrix total in 4 easy steps.

  1. Click on the tab and select Duplicate. This step is optional but will open the same matrix in a new tab so you can always click back to the original matrix view.

  2. Filter on the Account you want to see the detail for.

  3. Click on the Remove Matrix icon in the Current View Title.

  4. Click on the Remove Aggregation icon in the Current View Title.

You now have the detail data for that Account that matches the totals in the Pivot.

Sort Panel

Most datapps have a default sort order that will usually be the way you will want to see the data. The easiest way to change or add a sort is to click on the column heading.

Use the Navigate Panel if you don't see the column you want to sort by or to override the default action.

To Sort using the Navigate Panel:

  1. Click on the Navigate icon to open the panel.
  2. Click on the Sort link in the top section.
  3. Find the column you would like to Sort and click on it in the Available list.
  4. The field name will now appear in the Selected section. Repeat for as many sorting levels as you would like.
  5. To Sort Descending, click on the field in the Selected area and click the Sort Descending button. You will now see the descending icon next to the field name.
  6. Click the Navigate button.

Sorting Tips

Sort Descending Icon This icon next to a field in the Selected list indicates it is currently sorting descending.

Change Order Arrows Use the arrows on the right side of the Selected list to move fields up or down in the Sort order.

Remove Field Icon Use the X on the right side of the Selected list to remove a field from the Selected list.
