Financial Statements
Financial Statements are datapps that display the data summarized in a way that is useful for reporting. For example, some of the possible statement datapps are:
- Budget v. Actual
- Encumbrances
- Trial Balance
- General Ledger
These may vary, depending on the needs of your organization.
Initial View
The initial view of the datapp will show the summarized data with the default values for several of the options. Summarized columns will have a double down arrow icon that you can use to drill down to the Transactions datapp.
Options
The Financial Statements datapps will have a variety of options. This will vary depending on your organization. These options can be changed by interacting with the Criteria Bar or through the Navigate Control Panel.
As Of
Enter or select a single date to view the data As Of that date. There are Dynamic Parameters available to assist in entering common dates.
Years
The Years option lets you select the number of fiscal years of data you would like to see. Select 1 to see the current fiscal year to date. To view multiple years, enter how many years you would like, up to the number of years available in the database. A set of columns for each year will display. For prior years, the Adjusted Budget and Actuals will be shown. You can use the Balances option and the Display Builder to control which columns are visible for your report.
Chart Fields
The Chart Fields option lets you select which fields you would like to summarize by in the datapp. Click on the option in the Navigate Panel and you see the following list. Click on the checkbox to turn on or off and then click on the Navigate button at the bottom of the panel. This differs from the Display Builder because the columns are not simply being displayed or hidden. The data is requeried in order to summarize correctly based on the Chart Fields selected.
Balances
The Balances option let's you select which columns you want to display in the datapp. Click on the option in the Navigate Panel and you see the following list. Click on the checkbox to turn on or off and then click on the Navigate button at the bottom of the panel. This is where you can add the Monthly, Quarterly, and Life-To-Date columns.
Periods
The Periods option lets you select a specific period and also determine whether to include the closing period, if applicable.
Revenue/Expenditures
Some applications and organizations store credits and debits differently, or prefer to see them displayed differently depending on the context. If your financial statements have a Revenue/Expenditures option, here is how you can control when the data is displayed as positive or negative. This only applies in datapps that display both revenues and expenditures.
R,E - Both Positive: All transactions are displayed as positive at the transaction and summarized level. The Total will be a formula that subtracts expenditures from revenues. This is the default setting for this option.
R,(E) - Positive Revenues: This option displays revenues as positive and expenditures as negative.
(R),E - Positive Expenditures: This option displays expenditures as positive and revenues as negative.
Revenue/Expeditures Option Tip
- Whatever option you have selected will follow when you drill down to see the details in the Transactions datapp.
- The Amount column in the Transactions datapp can be expanded to see the Debits and Credits.
